How to turn WhatsApp enquiries into paying customers

4 July 2026 6 min readBy BizGinja Team

A simple WhatsApp follow-up system Lagos businesses can use to stop losing enquiries — and close 3–5x more sales.

In Nigeria, WhatsApp is where sales actually happen. Instagram, Google, and Facebook bring people in — WhatsApp is where they ask questions, negotiate, and pay. But most businesses lose 60–80% of their WhatsApp enquiries simply because there's no system behind the chats.

Here's the practical WhatsApp funnel we build for BizGinja clients.

1. Use WhatsApp Business, not the personal app

WhatsApp Business gives you a proper business profile, catalog, labels, quick replies, and away messages — all free. If you're still running enquiries from your personal WhatsApp, migrate today.

2. Set up a welcome message that qualifies

Your greeting message is the first impression. Don't just say "Hi, how can we help?" — ask the two or three questions you always end up asking anyway:

Welcome to [Business]! To help you faster, please share: 1) What service you're interested in 2) Your location 3) When you'd like it. We reply within 30 minutes (Mon–Sat, 9am–7pm).

You'll get answers 90% of the time — and skip 3 back-and-forth messages.

3. Reply fast — first hour matters most

Enquiries have a shelf life. A reply within 5 minutes converts 4–5x better than one two hours later. Assign one person to WhatsApp during business hours. Outside hours, an away message with your response window keeps trust.

4. Use labels to organise every chat

Create labels like New Lead, Quoted, Waiting, Paid, Repeat Customer. Every enquiry gets a label immediately. This turns your chat list into a mini sales pipeline — you can see at a glance who to follow up with.

5. Follow up 3 times, politely

If they don't reply after a quote, most Nigerian businesses just wait. Don't. Send:

  1. Day 1 — "Just checking if you got my last message?"
  2. Day 3 — Send a photo, review, or testimonial
  3. Day 7 — "Should I close this order or is now not a good time?"

6. Save every customer for future promos

Your customer list is your most valuable asset. Once someone buys, label them Repeat Customer. Broadcast (not group) new offers, restocks, and reminders once or twice a month. Repeat business is 5–10x cheaper than getting new customers.

If you'd like a done-for-you WhatsApp funnel — welcome flow, quick replies, follow-up templates, and broadcast strategy — that's one of the services we run for Lagos businesses at BizGinja.
